Some of our other roles have more flexibility, but for this role we will NOT proceed forward with you if you do not meet these qualifications:
#1 - Must be available for Eastern time zone weekday business hours between 9am-6pm
#2 - Compensation range is USD $8-$15/hr international candidates or $25-$35/hr U.S. candidates and is based on experience
#3 - At minimum 3+ years of experience in an small business / startup environment in a similar role, ideally U.S. business + agency + B2B

Our team and leadership have been growing quickly and we need someone to be the “glue” between all of the moving parts and people. The Operations Manager will be a key internal position involved (or at least informed) in every aspect of the business, especially: operations, finance, team success, and client success. They are the air traffic controller keeping an eye on the day-to-day and ensuring smooth flying for the team.
Responsibilities include, but not limited to:
- Provide or find prompt support (within 1-2 hrs) for ad hoc needs or questions from the team at large
- Partner closely with the finance + team success + client success departments to coordinate and collaborate on various projects across the organization
- Understand our company goals and priorities in order to effectively anticipate deliverables, follow-up to drive forward progress, and assist in re-prioritization when necessary
- Attend internal meetings to capture notes, action items, deliverables, and follow-ups
- Create tasks in ClickUp with action items and delegate across the team
- Own project management for internal operations and support the team with tracking and completing their tasks
- Quality check our recurring tasks / processes and identify opportunities for improvements
- Oversee and support the execution of our onboarding checklists for clients and team members
- Work with the Ops Assistant to monitor our time tracking tool and flag the success squad when there are inefficiencies or time allocations exceeded
- Provide a summary of observations and recommendations to the CEO on how to improve the overall thriving of the company team and operations
- Protect CEO’s time and involvement and provide support and solutions when possible
- Share announcements team-wide and work with leadership to support/monitor implementation of any change mgmt
- Oversee our resource library management and collaborate with other team members to make changes to our training documentation and SOPs
- Take ownership of additional duties and special projects, as needed

- 3+ years of experience as a Senior Project Manager / Operations Manager / Chief Of Staff or any similar role.
- Has experience in supporting the CEO or COO in making strategic, executive decisions with personnel.
