Executive Assistant (Remote)

We are looking for an experienced Executive Assistant for a global B2B high-tech company. This role will be responsible for providing administrative support to multiple VPs

This is a 6 month project (extensions OR Conversion to FTE possible), 40 hours per week, Remote role in the US. This is a w2 role as a Stage 4 Solutions employee, health benefits, and 401K offered.

Responsibilities:

Calendar & meeting management coordinate internal and external meetings including staff meetings, executive briefings, all hands meetings, QBR's and off-site meeting and events. Assist with food orders, meeting needs, agenda support and note taking. Proactively manage calendar requests and conflicts
Meeting and interview preparation. Provide agendas, resumes and appropriate materials in a timely manner ahead of meetings and interviews
Apply discipline and rigor around meetings and ensuring agendas and clarifying context and purpose with senior leaders you support as well as participants
Handle all travel (flight, hotel, car) arrangements for domestic and international travel
Expense management duties, which includes submitting expense reports and receipts in a timely manner
Provide support for new hires, assist with cubicle assignments, equipment requests, onboarding meeting scheduling and being a point of contact for new hire
Provide support for new vendors and agencies when needed, ensuring they have the right access and documents/enablement required to get them up and running
Project work as needed to support each teams' goals

Requirement:

8+ years of administrative assistant experience supporting executive level leadership
Proactive, one step ahead work ethic, attitude, and approach
Able to multi-task and juggle multiple calendars, teams and requests
Ability to drive schedules and agendas with deeper understanding of context
Strong teamwork and interpersonal skills, with a desire to offer suggestions and improvements Superior communication skills with the ability to work across all levels, internally and externally High level of confidentiality, discernment and judgement
Desire to grow and take on your own projects while consistently meeting deadlines
Technical expertise with Word, Outlook, PowerPoint, Zoom, Concur Associate degree in Business Administration or related field

Compensation: $35/hr - $47.14/hr
