Position Overview:
As our Administrative Assistant, you'll report directly to the CEO and play a key role in managing various administrative tasks, from scheduling meetings, booking travel, and generating reports to organizing team activities and assisting with the CEO's personal tasks. You'll also maintain confidentiality regarding sensitive client and company matters while supporting our marketing initiatives and client projects.
Key Responsibilities:
- Streamline administrative processes to improve team productivity and efficiency
- Generate and distribute client status reports to keep everyone on track
- Schedule meetings and appointments for the CEO and team members
- Assist the CEO with both business and personal tasks, including travel planning
- Manage and track budgets and expenses accurately
- Conduct online research, perform data entry, and summarize information for client projects and marketing efforts
- Organize team meetings and prepare agendas and summa to internal and client projects
- Plan team and client social events
- Perform other administrative duties as needed
- Maintain strict confidentiality of client and company information
What We're Looking For:
- 2+ years of experience in an administrative or similar role
- Strong organizational skills with a keen eye for detail
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Basic knowledge of budgeting and expense tracking
- Excellent written and verbal communication skills
- Ability to prioritize and manage multiple tasks simultaneously
- Independent worker comfortable in a fully remote environment

- Experience with project management tools (Asana, Trello, or similar)
- Previous experience working in a remote or virtual work setting
