Role Overview:
In this role, you shall provide comprehensive administrative support to the client, ensuring effective coordination, communication, and time management.
Key Responsibilities:
- Core Administrative Support: Manage the executive’s calendar, including scheduling meetings, appointments, and recurring events, Coordinate meeting logistics (agendas, attendees, technology, follow-up tasks), Draft, review, and organize internal/external correspondence, Maintain up-to-date filing systems (digital and/or physical).
- Communication & Liaison: Monitor and triage email and phone communications as directed, Act as the point of contact between executives and internal/external stakeholders, Draft routine communications, announcements, or internal updates as needed.
- Team Productivity Support: Serve as an operational extension of the executive within their team environment, Coordinate cross-functional follow-ups, ensuring timely execution of action items and priorities, Manage internal workflows such as task tracking, project coordination, and team scheduling, Support team communications and ensure alignment on key initiatives by reinforcing executive directives, Step in to fill operational gaps as needed, helping the team stay organized and focused on deliverables.
- Document & Records Management: Prepare executive-facing documents, reports, and presentations, Maintain confidential and operational records across designated systems (e.g., Google Drive, Notion, etc.), Track deliverables, deadlines, and key documents relevant to ongoing projects.
- Travel & Logistics Coordination: Plan and book travel itineraries including transportation, lodging, and scheduling, Provide detailed travel briefs and updates prior to departure, Support last-minute changes or logistical needs during travel.
- Expense & Reporting: Track, reconcile, and submit expense reports in line with company procedures, Support budget tracking for administrative spend, if applicable, Coordinate with finance or accounting for invoice submission or reimbursements.
- Proficient in English
- Must have a good internet connection
- Manage emails, calendars, and be able to schedule meetings.
- Have experience using Google Drive, Notion, etc
