We are seeking a highly organized, detail-oriented, and proactive Executive Personal Assistant to provide comprehensive remote support for managing personal and household responsibilities. This role focuses on ensuring seamless coordination of the executive’s daily life, including scheduling, travel arrangements, and household management. The assistant will work independently as a contractor and communicate with the executive primarily through text, calls, and emails. This position is part-time, pays $30/hour, and requires the assistant to maintain their own timecard.
This role does not directly integrate with the business operations staff but may occasionally involve communicating with them for specific appointments or scheduling purposes.
Key Responsibilities:
- Organize and maintain the executive’s personal calendar, including appointments, family activities, and reminders.
- Ensure all personal commitments are well-coordinated and align with priorities.
- Arrange domestic and international travel, including booking flights, accommodations, and transportation.
- Prepare and distribute detailed itineraries and schedules.
- Schedule and oversee household services such as repairs, cleaning, and deliveries.
- Handle routine household purchases, returns, and vendor coordination.
- Assist with scheduling personal appointments (e.g., medical, social, and family events).
- Maintain accurate records of tasks and communications.
- Manage bill payments, renewals, and subscriptions to ensure everything remains up-to-date.
- Handle occasional personal errands and ad hoc tasks remotely.
- Act as the primary point of contact for personal inquiries and requests.
- Coordinate with family members and relevant service providers to ensure smooth operations.
- Occasionally liaise with the business staff for overlapping scheduling needs.
Qualifications:
- Proven experience as a Personal or Executive Assistant in a remote setting.
- Outstanding organizational and multitasking abilities.
- Proficiency in using scheduling tools and communication platforms (e.g., Google Calendar, Zoom, WhatsApp).
- High level of discretion and professionalism when handling sensitive information.
- Excellent verbal and written communication skills.
- Strong attention to detail and proactive problem-solving skills.
- Familiarity with household and travel management is a plus.
- Ability to work independently and adapt to changing priorities.
Role Structure and Compensation:
- Employment Type: Independent Contractor (1099 basis).
- Compensation: $30/hour, with flexibility in weekly working hours depending on the tasks.
- Work Environment: 100% remote, with communication conducted via text, email, and calls.
- Timekeeping: Contractor will maintain their own timecard.
